Litigation Secretary

Job Description:

We are looking for an experienced Litigation Secretary with Complex Litigation experience. Ideal candidates will be able to work in a fast paced, high volume desk servicing multiple partners. 

Listed below are some of the responsibilities of the position:  

  • Calendaring for multiple attorneys 
  • e-filing, both State & Federal 
  • Prepare all word processing work including, but not limited to, memos, letters, charts, check requests, new matter memos, briefs, pleadings, discovery, agreements, deeds, frequent update mailing and service lists. Such work may be presented in various forms, i.e., handwritten copy, Dictaphone, or an edited typewritten product.
  • File correspondence and legal documents according to the office filing system.
  • Prepare and maintain files
  • Greets clients, provide hospitality and other assistance when needed
  • Answer and screen routine telephone calls per the attorney's instruction 
  • Vendor/ client billings 
  • Manage office mail 
  • Maintain databases with up-to-date information 
  • Schedule meetings. Coordinate meals/refreshments for meetings. Schedule outside vendor services, such as court reporters, expert witnesses, etc
  • Make travel arrangements. 
  • May also include administrative work. In addition, a limited amount of secretarial work for personal matters for the attorney is to be expected.
Job Requirements:
Qualifications:  Experience with state and federal court filings and interacting with court personnel required. High proficiency in Microsoft Word, PowerPoint, and Excel is a must.
