Job Title: Legal Administrative Assistant
Job Description: Nonprofit Organization seeks an experienced Legal Administrative Assistant to join their team. The ideal Legal Administrative Assistant possesses over 3+ years of experience directly supporting Partner-level Attorneys or C-Suite Executives with tasks including: drafting and filing various legal documents; processing, tracking, and submitting expense reports; and assisting with contracts agreements and additional projects. The ideal Legal Administrative Assistant possesses their Bachelor's degree and/or an ABA-approved paralegal certificate.
LEGAL ADMINISTRATIVE ASSISTANT JOB DUTIES:
- Handle a high-volume administrative workload, including filing, invoice processing, expense tracking, supply ordering, preparing routine correspondence and reports, scheduling meetings, and assisting with event and meeting setups.
- Prepare corporate filings, meeting agendas, minutes, and corporate resolutions.
- Oversee the contract routing, execution, and maintenance process for the department.
- Manage the receipt and response to subpoenas and other document requests.
- Assist in coordinating insurance renewals and handling requests for certificates of insurance.
- Support the Chief Compliance Officer/General Counsel (CCO/GC) in coordinating training sessions and preparing training materials.
- Contribute to special projects and other tasks as assigned by the CCO/GC.
LEGAL ADMINISTRATIVE ASSISTANT QUALIFICATIONS:
- Bachelor's degree or paralegal certificate required.
- At least 3 years of experience providing administrative support to senior-level executives.
- A minimum of 1 year of experience in a corporate legal or compliance department or law firm.
- Extensive experience in managing an executive's busy calendar, prioritizing meetings, and ensuring all relevant documents are prepared and available.
