Job Description

A Defense Litigation Secretary plays a critical role in supporting legal teams, particularly in firms or departments specializing in defending clients in lawsuits. Their duties generally include:

  1. Document Management:

    • Prepare, file, and organize legal documents such as pleadings, motions, and discovery materials.
    • Maintain and update case files and records, ensuring all documents are properly indexed and easily accessible.
  2. Court Filings and Deadlines:

    • Handle the filing of legal documents with courts and agencies, both electronically and in person.
    • Monitor and track deadlines, ensuring all filings and submissions are timely and compliant with court rules.
  3. Scheduling and Calendar Management:

    • Coordinate and schedule meetings, depositions, hearings, and court dates.
    • Manage the attorney's calendar, ensuring that all appointments and deadlines are met.
  4. Client Communication:

    • Serve as a point of contact between clients, attorneys, and other parties involved in a case.
    • Prepare and send correspondence, such as letters and emails, related to case matters.
  5. Legal Research and Drafting:

    • Assist with basic legal research to support case preparation.
    • Draft and proofread legal documents, correspondence, and reports under the supervision of attorneys.
  6. Case Preparation:

    • Gather and prepare evidence, including documents and exhibits, for court proceedings and meetings.
    • Assist attorneys in preparing for trials, hearings, and depositions by organizing materials and preparing briefs.
  7. Administrative Support:

    • Perform general office duties such as answering phones, managing mail, and handling office supplies.
    • Provide support to attorneys with case-related tasks and administrative functions as needed.
  8. Confidentiality and Ethics:

    • Maintain strict confidentiality regarding sensitive and privileged information.
    • Adhere to ethical standards and legal regulations in handling all case-related information and communications.
