Job Description
We are a reputable law firm based in Marin County, committed to delivering outstanding legal services across various practice areas. We are looking for a detail-oriented and organized Legal Assistant to join our team. The ideal candidate will have experience providing comprehensive administrative support in a legal environment and possess strong technical skills.
Key Responsibilities:
- Document Preparation: Prepare and revise legal documents, correspondence, memoranda, and emails from both written form and transcription.
- Case Support: Assemble documents and exhibits for court filings, hearings, arbitrations, mediations, depositions, and other engagements.
- Proofreading: Review prepared materials to ensure accuracy, ensuring documents are free from typographical and grammatical errors and formatted according to firm standards.
- Mail and Email Management: Sort, print, and distribute incoming mail and emails as appropriate.
- Scheduling: Arrange appointments and meetings for attorneys and manage calendar deadlines, recording important dates on the master calendar.
- File Management: Maintain client files and chron files to ensure organization and accessibility.
- Technical Proficiency: Use transcription equipment and computer software to produce legal documents, as well as other office equipment like photocopiers, fax machines, and postage meters.
Additional Responsibilities:
- Travel Arrangements: Coordinate travel for attorneys, including booking hotels, flights, and transportation as needed.
- Marketing Support: Assist in creating marketing materials, including pitch folders, attorney biographies, and PowerPoint presentations.
- General Support: Perform other duties as assigned to support the firm's daily operations.
Qualifications:
- Experience: Prior experience as a Legal Assistant or in a similar administrative role in a law firm environment.
- Technical Skills: Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and transcription equipment; familiarity with office equipment (photocopier, fax machine, postage meter).
- Attention to Detail: Strong proofreading skills to ensure accuracy and adherence to formatting standards.
- Organizational Skills: Ability to manage multiple tasks efficiently and maintain organized, up-to-date files.
- Team Player: Demonstrates professionalism and a collaborative attitude within a team setting.
