Job Description
The Immigration Paralegal, reporting to the Immigration Manager, is responsible for preparing and filing employment-based nonimmigrant and immigrant petitions, including H-1B, L-1, and O-1 petitions, as well as consular applications such as E-2s and DS-160s. Additionally, the role involves managing Labor Certifications, I-140s, I-485s, and family-based petitions. This position follows a hybrid schedule, with 2-3 in-office days per week.
Primary Responsibilities:
- Case Initiation & Client Coordination: Launch cases based on guidelines from attorneys or clients. Conduct an initial review to assess the foreign national's eligibility, check for any status concerns, and flag relevant issues to attorneys as necessary. Communicate with clients to gather essential information and documentation to kickstart cases.
- Documentation & Form Preparation: Complete required immigration forms using case management databases. Organize each step of the immigration process, including gathering supportive documents, conducting necessary legal research, and coordinating translations or educational equivalencies when needed. Prepare all supporting materials for submission to relevant government entities, including the Department of Labor, Department of State, and USCIS. Coordinate visa processing, PERM advertising, and related documentation, maintaining records of posting and removal dates. Finalize and dispatch completed documents for client signatures and submission, with copies to stakeholders.
- Key Skills & Capabilities: Candidates should excel in both written and verbal communication, possess strong listening abilities, and demonstrate skill in building cases. Must prioritize efficiently, research effectively, and have a thorough understanding of the legal documentation required for business immigration cases. Attention to detail, reliability, a proactive approach, adaptability, and a commitment to meeting client deadlines are essential. Experience with immigration databases and form preparation software, such as INS Zoom, Tracker, or LawLogix, is required. A collaborative team spirit is also essential.
- Support for Attorneys & Case Management: Aid attorneys in drafting responses to government inquiries and audits. Prepare support or invitation letters for both domestic and international cases. Engage in extensive client contact, primarily via phone and email, handling common inquiries under attorney guidance. Use discretion and judgment in identifying matters that require escalation. Track and manage case progression, ensuring timelines are met for various immigration categories, including non-immigrant, PERM, immigrant petitions, and status adjustments. Generate reports to monitor case statuses, expirations, and proactively initiate extensions when applicable. Track global case renewals, permit expirations, and repatriation logistics.
- Database & Record Maintenance: Update foreign national information in databases (e.g., INS Zoom), tracking changes like address updates, visa renewals, and passport details. Follow firm standards for file organization and log tasks in the INTAPP system.
Qualifications:
- Minimum of 4+ years of experience in corporate immigration.
- Proficient in Microsoft Office and immigration case management software.
- Excellent communication skills, both written and verbal, with strong listening skills.
- Detail-oriented, highly organized, with the ability to prioritize and adapt to workload variations in a fast-paced setting.
